Griffin Labs LLC, doing business as Mortarlink ("Mortarlink," "we," "us," or "our"), values the privacy and security of your personal information. This Privacy Policy explains how we collect, use, disclose, and protect your data when you use our website, landing page, and subscription software. By accessing and using our platform, you consent to the practices described in this policy.

1. Information We Collect

We may collect personal information that you voluntarily provide to us when you register, subscribe, or use our services. This information may include:

  • Name, email address, and contact details.
  • Company name, job title, and professional information.
  • Payment and billing information (if applicable).
  • Workforce information your company enters: worker names, titles, crews, work phone numbers and emails, schedules, timesheets and hours worked, time-off requests, certifications, and signatures.
  • Project information: bids, projects, budgets, costs, change orders, billing, forms, files, photos, messages, and project notes, including names and contact details of customers and their contacts.
  • Usage information: IP address, device and browser type, features used, and timestamps.

2. How We Use Your Information

We may use your personal information for the following purposes:

  • Provide, operate, and maintain our platform.
  • Process and manage your subscriptions, orders, and payments (if applicable).
  • Respond to your inquiries, requests, and support needs.
  • Send you important updates, notifications, and marketing communications.
  • Analyze and improve our platform's performance and user experience.

3. How We Share Your Information

We may share your personal information with third parties under the following circumstances:

  • With your consent or at your direction.
  • With service providers that help us operate the platform, including cloud hosting, email and SMS delivery, payment processing, and AI processing.
  • With third-party services your company chooses to connect, such as accounting, CRM, calendar, file storage, and telematics.
  • To AI assistants you connect, as described in the AI Assistant Connections section.
  • In response to a legal request or to comply with applicable laws and regulations.
  • In connection with a merger, acquisition, or sale of all or part of our business.

4. Collection and Use of Location Data

We may collect and use data regarding your geographic location (“Location Data”) when you use our platform. This Location Data may include, but is not limited to:

  • Precise geographic location data from your mobile device, subject to your consent.
  • We use Location Data for the following purposes:
  • To provide and improve location-based services and functionalities on our platform.
  • To understand and analyze usage trends and preferences of our users.
  • To enhance the security and operational planning of our services.
  • If your company connects a telematics provider, we receive location data for company equipment and vehicles.

We may share your Location Data with third parties in the following circumstances:

5. AI Assistant Connections

  • With service providers who assist us in providing location-based services.
  • When required by law or to respond to legal processes or requests.
  • In the context of a merger, acquisition, or sale of assets.
  • You have control over your Location Data. Most mobile devices provide settings to disable location services. If you do not wish to share your precise location with us, you can turn off location services in your device’s settings.

If your company administrator enables it, you can connect an AI assistant such as ChatGPT (OpenAI) or Claude (Anthropic) to your Mortarlink account.

  • What is shared: The assistant can only receive data your Mortarlink user is already allowed to see. This may include project, bid, schedule, budget, cost, billing, and change order details; worker names, titles, crews, and work phone numbers and emails; customer and contact information; time-off requests; project activity, messages, and file names; and equipment locations. Pay rates, government ID numbers, bank or card details, and passwords are never shared.
  • Who receives it: Data sent to an assistant is processed by that provider under its own privacy policy.
  • Changes: If your account allows it, an assistant can make limited updates only after showing you a preview and receiving your approval. Changes are recorded under your name.
  • Logs: We record each assistant request (user, assistant, action, inputs, and time) to operate, secure, and troubleshoot the feature.
  • Controls: Disconnect at any time under Settings → AI Connections or in the assistant's settings. Company administrators can turn off AI connections for everyone. Access tokens expire after one hour, and connections end if they aren't refreshed within 90 days.

6. Data Security

We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. However, no data transmission over the internet or electronic storage is entirely secure, and we cannot guarantee absolute security.

7. Data Retention

We keep account, project, and workforce data, including AI assistant activity logs, for as long as your company's account is active. Records deleted in the platform are removed from view but may remain in our systems. After your company's subscription ends, we keep your data so it can be restored if you return, until your company asks us to delete it. To request an export or deletion, contact info@mortarlink.com, and we will respond within 30 days. We may keep certain information longer where required by law, such as billing records for tax purposes.

8. Mobile Phone Contact Information

We value your privacy and are committed to protecting your personal information, including your mobile phone contact information.How Mobile Phone Contact Information is Used:

  • Mobile phone contact information is collected solely for the purpose of providing services, sending transactional updates, and responding to inquiries or support requests. You will only receive marketing communications if you have explicitly opted in.

Sharing of Mobile Phone Contact Information:

  • We do not share, sell, rent, or disclose your mobile phone contact information to third parties for marketing purposes.

Opt-Out Options:

  • If you wish to opt out of receiving SMS or other communications, you may do so at any time by replying STOP to a message. We will promptly process your request in accordance with applicable laws.

9. Your Choices

You have the right to access, update, correct, or delete your personal information. If you wish to exercise these rights, please contact us at info@mortarlink.com. You can disconnect AI assistants at any time under Settings → AI Connections, and turn off location services for the Mortarlink app in your device settings.

10. Children's Privacy

Our platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so that we can take appropriate actions.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will post the revised policy on our platform and update the "Effective Date" at the bottom of this page. Please review this policy periodically for any changes. Your continued use of our platform after the revised policy becomes effective constitutes your acceptance of the updated terms.
